Privacy Policy

Effective date: October 7, 2026. How we handle personal information across our website, portal, and grading services.

White Whale Grading (“White Whale,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you visit whitewhalegrading.ai, use our customer or dealer portal, submit trading cards for grading, or otherwise interact with our services.

1. Who we are

White Whale Grading provides machine-vision trading card grading, digital reports, certification, encapsulation (slabbing), and related customer and dealer portal services.

Business contact: White Whale Grading, P.O. Box 109, Cedarburg, WI 53012, United States. Email: support@whitewhalegrading.ai.

2. Scope

This policy applies to our marketing website, account registration and login, submissions and grading workflows, certification lookup, customer support, and related online services we operate. It does not cover third-party websites or apps that we do not control, even if linked from our site or checkout experience.

3. Information we collect

We collect information you provide directly, information created when you use the service, and limited technical data from your device and browser.

  • Account and profile details — name, email address, password or authentication credentials, phone number, role (customer or dealer), and account preferences.
  • Submission and shipping details — mailing and return addresses, inventory or card lists, order notes, tracking numbers you or we provide, and communication about your submission.
  • Card and grading data — card titles and identifiers you enter or we capture, scan images, grading scores and subgrades, reports, certificates, and related workflow status.
  • Payment-related information — billing details and transaction metadata processed by our payment provider (Stripe). We do not store full payment card numbers on White Whale servers.
  • Support communications — emails, messages, and attachments you send to support.
  • Technical and usage data — IP address, browser type, device information, pages viewed, approximate location derived from IP, referring URLs, and diagnostic logs needed to operate and secure the service.
  • Cookies and similar technologies — session and preference cookies, and analytics or marketing tags (such as Google Tag Manager) when enabled on our marketing site.

4. How we use information

We use personal information to:

  • Create and manage accounts, authenticate users, and provide the portal.
  • Receive, track, grade, slab, certify, and return submitted cards.
  • Generate digital reports, certificates, and public verification records tied to certificate numbers.
  • Process payments, prevent fraud, and reconcile orders.
  • Communicate about submissions, shipping, billing, product updates, and support.
  • Improve grading quality, site performance, security, and customer experience.
  • Comply with law, enforce our terms, and protect rights, property, and safety.

6. How we share information

We do not sell your personal information. We share information only as needed to operate the service or as required by law:

  • Service providers — hosting, email, analytics, customer support tools, and similar vendors under contractual obligations to protect data.
  • Payment processors — to complete checkout and handle billing disputes or chargebacks.
  • Shipping carriers — name, address, and package details needed to deliver or return cards.
  • Facility and operations partners — staff and contractors involved in intake, scanning, grading, slabbing, and shipping under our direction.
  • Public verification — certificate numbers, grades, and related verification details may be available through our public verify tools when a certificate is issued.
  • Legal and safety — if required by law, court order, or to protect against fraud, abuse, or security threats.
  • Business transfers — if we are involved in a merger, acquisition, or asset sale, information may transfer subject to this policy or equivalent protections.

7. Cookies and analytics

We use essential cookies to keep you signed in and remember preferences. We may also use analytics or advertising tags (including Google Tag Manager and tools configured through it) to understand site usage and improve marketing. You can control cookies through your browser settings. Disabling some cookies may affect site functionality.

Checkout and payment pages operated by third parties may set their own cookies under their policies.

8. Data retention

We keep account, submission, grading, certificate, and transaction records for as long as needed to provide the service, meet legal and accounting requirements, resolve disputes, and maintain the integrity of certificates and reports. Scan images and reports associated with graded cards are typically retained so customers and buyers can verify results. You may request deletion of account data as described below; some records may need to be retained where legally required or for certificate authenticity.

9. Security

We use administrative, technical, and organizational measures designed to protect personal information, including access controls, encrypted transport (HTTPS), and monitoring. No method of transmission or storage is 100% secure. Please use a strong unique password and notify us promptly of any suspected unauthorized access to your account.

10. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. To make a request, email support@whitewhalegrading.ai. We may need to verify your identity before fulfilling a request.

You may unsubscribe from non-essential marketing emails using the link in those messages or by contacting support. Transactional messages about your submissions and account will still be sent as needed.

11. Children’s privacy

Our services are directed to adults and businesses. We do not knowingly collect personal information from children under 13 (or under 16 where that higher age applies). If you believe a child has provided personal information, contact us and we will take appropriate steps to delete it.

12. International users

We are based in the United States. If you access our services from outside the U.S., your information may be processed in the United States and other countries where our providers operate. Those countries may have different data-protection laws than your home country.

13. Third-party services

Our site and checkout may link to or embed third-party services (payment checkout, analytics, shipping trackers, social or authentication providers). Their collection and use of information is governed by their own privacy policies. We encourage you to review those policies.

14. Changes to this policy

We may update this Privacy Policy from time to time. The “Effective date” at the top will change when we post updates. Continued use of the service after an update means you accept the revised policy, except where additional consent is required by law.
